Position Title: Publications and Programs Administrator
Supervisor: Director of Publications and Programs
Full-time, salaried with benefits
Founded in 1911, the College Art Association (CAA) is the preeminent international leadership organization in the visual arts, promoting the field through intellectual engagement, advocacy, programs, and a commitment to the diversity of practices and practitioners. CAA has more than 9,000 members worldwide. The majority of members are curators, art historians, scholars, visual artists, and designers.
Responsibilities:
- Assist with all administrative tasks related to the department including data entry, record keeping, document production, and photocopying
- Prepares letters and assists with marketing efforts: to reach potential applicants to fill open positions on committees, editorial board and juries; for applicants to grants and awards; to conference participants, exhibitors, advertisers, jurors, committee members, and volunteers
- Proofreads texts relating to the work of the department
- Assists with financial recording keeping, including processing honoraria and grant payments, purchase orders, and other transactions
- Assists with coordination of grant applications, circulates applications to jury members, maintains records of grant activities
- Ensures that agreements with authors, vendors, and contractors are signed and appropriately routed and filed
- Researches publisher contacts and maintains relationships in order to obtain books for review and for book award juries
- Orders and ships books; tracks status of books sent to jurors and reviewers
- Maintains correspondence and files relating to journal permissions
- Solicits and compiles annual listings of dissertation titles
- Cataloging books as required
- Inscribes and edits minutes at editorial board meetings and other meetings as necessary; maintains calendar and correspondence for same
- Serves as travel liaison for the department
- Attends and works at the CAA Annual Conference, which may involve one week’s travel each year
- Other duties as assigned
Required Qualifications:
- Bachelor’s degree, preferably in an art related field
- A minimum of two (2) years related experience
- Excellent communication, organizational, and time-management skills
- Excellent attention to detail and interpersonal skills
- Demonstrated ability to meet deadlines and quality expectations
- Demonstrated ability to work independently and collaboratively as a member of a team
- Flexibility, creativity, and initiative
- Pleasant demeanor
- Proficiency with Microsoft Word and Excel
- Experience working with databases
- Ability to work resourcefully and adapt to changing needs within the department
